Write down what came off and why
Sites keep records of what they buy. Almost none keep records of what they removed, which is the half that would tell them something.
What is worth noting takes a minute per tire: which machine, which position, how long it was on, and why it came off. That last one matters most, and it needs a real answer rather than "worn out". Cut. Impact break. Sidewall damage. Heat. Run flat. Worn to the point of removal.
Within a year that list answers questions that are otherwise guesswork.
Are we losing tires to damage or to wear? Damage points at the haul road or the operators. Wear points at specification.
Is one machine worse than its twin? That is the operator, the route, or something mechanical on that machine.
Is one position consistently early? Something about how the machine is loaded or used.
Is our casing pass rate moving? Which tells you whether the operational habits are improving.
None of that requires a system. It requires a notebook and somebody filling it in at the change-out.
Repair before replacement
The national OTR services page sets out when an injury is repairable and why, on a tire of this value, repair is frequently the right answer.
It is also the entry worth recording most carefully at a change-out. A tire scrapped for damage and a tire that was never assessed look identical in a year's records, and only one of them tells you anything.
