Give the store your dispatch sheet, not just your unit list
Most fleet accounts are set up around the vehicles: unit numbers, tire sizes, positions. That is necessary, and it leaves out the person who actually makes the calls.
In a trucking operation, the dispatcher is the one on the phone when a unit stops, when a trailer needs to come in, or when a driver reports a vibration. If the store does not know who that is, what hours they work, and who covers when they are off, every call starts with working that out.
The most useful thing to hand over at setup, after the unit list, is a one-page contact sheet.
- Who calls in work, by shift if there is more than one.
- Who can approve work, and up to what amount without a callback.
- Who covers nights and weekends, with a number that is actually answered.
- How units are identified on your side, so the driver, the dispatcher and the invoice all use the same number.
- Where invoices go, and what reference each one needs.
An owner-operator's version is shorter: one name, one number, and an approval limit. It still saves the same minutes on every call.
Keep it current
The sheet goes stale whenever someone changes jobs. Updating it is a two minute phone call; not updating it means a roadside call at night that waits on finding the right person.
